Make sure you review our 2019 star ratings with beneficiaries
CMS requires you to review the 2019 star ratings document with beneficiaries when presenting Aetna and Aetna Coventry Medicare plans (MA/MAPD, PDP).
|Important dates to remember|
|October 29||2019 star ratings documents will be available to download on AetnaMedicare.com/brokers or Coventry-Medicare.com/brokers under the “Find Plan Documents” sections. Just use the dropdown menus to select a specific state, county and plan, and then you’ll be able to download or print the 2019 star ratings documents, when available.|
|October 30||The 2019 star ratings page will be included in any new enrollment kits you order starting on this date. If possible, please wait to order additional kits until then.|
|By October 31||By this date, you must remove 2018 star rating pages from your existing enrollment kits and replace them with the new 2019 star ratings sheets, which you’ll need to download from AetnaMedicare.com and Coventry-Medicare.com.|
IMPORTANT: Make sure you double check the fax number before you submit 2019 enrollment applications
There are a few important changes this year to submitting 2019 MA/MAPD or PDP enrollment applications. Please note: Mailing addresses and fax numbers vary by plan and some have changed for 2019. If an enrollment application is sent to the wrong spot, it will cause significant delays and the application may be denied.
What’s the right fax number? It depends on the plan. The fax number for each plan corresponds to the application number (ATN) in the bottom-right corner of every page of the enrollment form. The first two letters indicate where the enrollment should be sent.

Avoid this mistake when completing 2019 applications
When filling out a 2019 enrollment form during AEP, leave the first page, the confirm your enrollment period page, blank. This page only needs to be completed when enrolling outside of AEP.
To be clear, don’t check the box for making “a change during the Medicare Advantage Open Enrollment Period (MA OEP).” The OEP option does not apply at this time. Selecting it will delay processing of your enrollments, as Aetna must then reach out to your clients for clarification before processing the enrollment.
Encourage your clients to attend a member meeting
Aetna is hosting MA/MAPD member meetings in select markets during AEP. If these events are occurring in your market, Aetna hopes you’ll encourage your MA/MAPD clients to attend! At these events, members will learn what’s new for 2019. And Aetna will be there to help answer questions.
2019 flyers to help you retain your clients
Aetna has updated their member flyers for 2019. You can use them to help your clients learn about their plan benefits, support their health needs and retain their 2019 Aetna/Coventry MA/MAPD membership. Below are just a few of the ones available. To review and download all the 2019 member flyers, just go to the Medicare Marketing Studio and click on the Retain Your Business section. You can email them to your clients or hand them out at an upcoming meeting.

Save time and get paid faster with the Ascend app
You can enroll your clients electronically, save time and eliminate paperwork with the Ascend Virtual Sales Office app. Some of the Ascend app’s features include the new remote agent telephonic enrollment (RATE) tool, the year-over-year comparison tool, and the enhanced e-kit enrollment option!
